Tradework Labs ("we", "us", or "our") operates an AI-powered scheduling assistant platform for home service businesses. This Privacy Policy describes how we collect, use, and protect your information when you interact with our services.
Information We Collect
We collect the following types of information:
- Chat conversations: When you use our AI scheduling assistant, we collect the messages you send, including any personal details you provide such as your name, phone number, email address, physical address, and service interests.
- Authentication data: If you access our admin dashboard, we use Clerk for authentication, which may store cookies and session tokens in your browser.
- QR scan data: If you scan one of our QR codes, we record the scan event, including the time and the campaign associated with the code.
- SMS / text messages: If you opt in to text messaging, we collect your mobile phone number, the content of inbound and outbound messages, your consent record (when, how, and through which channel you opted in), and any opt-out events (e.g. STOP keyword).
- Usage data: We collect basic server logs including request timestamps and page visits to maintain and improve our service.
How We Use Your Information
- Scheduling appointments: Information you share in chat is used to find available service slots and notify our team so they can follow up to schedule your appointment.
- Admin notifications: When you express interest in booking, we send email notifications to the service team with the details you provided.
- Service improvement: We review conversation data in aggregate to improve our AI assistant's accuracy and helpfulness.
- Campaign tracking: QR scan data helps us understand which marketing campaigns are most effective.
- Text messaging: Where you have explicitly opted in, we use your phone number to send appointment-related SMS such as confirmations, scheduling updates, and replies to your questions. We honor STOP keywords immediately and store your opt-out so we don't message you again unless you re-subscribe.
Data Storage & Security
Your data is stored in a SQLite database on our servers. Chat sessions are temporary and expire after 30 minutes of inactivity. We implement reasonable technical safeguards to protect your information from unauthorized access, but no method of electronic storage is 100% secure.
We do not sell, rent, or trade your personal information to third parties.
Third-Party Services
We use the following third-party services to operate our platform:
- OpenAI: Powers our AI chat assistant. Your chat messages are sent to OpenAI for processing. See OpenAI's Privacy Policy.
- FieldRoutes: Used to check scheduling availability. Limited appointment-related data may be shared with FieldRoutes.
- Clerk: Provides authentication for our admin dashboard. See Clerk's Privacy Policy.
- Telnyx: Powers our SMS and voice infrastructure. Phone numbers and message content are processed by Telnyx for delivery to your wireless carrier. See Telnyx's Privacy Policy.
- SMTP (Email): We use email services to send appointment notification emails to service administrators.
SMS Opt-In Data & Mobile Information
Mobile information you provide to Tradework Labs — including your phone number and SMS opt-in status — will not be shared with third parties or affiliates for marketing or promotional purposes. Information shared with our SMS service provider (Telnyx) and the wireless carriers responsible for delivering messages is used solely to send you the SMS you have consented to receive and to comply with carrier rules. This data is never sold.
Wireless carriers will not be permitted to use your mobile information (including phone numbers and opt-in data) for any purpose other than message delivery. Opt-out requests (STOP) are honored immediately and recorded in our system to prevent further messaging.
Your Rights
You have the right to:
- Request access to the personal data we hold about you.
- Request deletion of your personal data from our systems.
- Opt out of providing personal information during chat (though this may limit our ability to assist with scheduling).
- Opt out of SMS at any time by replying STOP to any text message.
